Policy on the Storage of Historical Documents

Modified on Tue, 7 Apr at 2:16 PM

With the objective of providing greater clarity and transparency regarding the storage policies for electronic tax documents hosted on our platform as part of electronic invoicing issuance and reception processes, the following guidelines are established:

Storage of regulated electronic tax documents

All regulated electronic tax documents (XML files) are stored within the Gosocket platform and are available to the user through the Gosocket portal only during the legally mandatory storage period defined by each country’s tax authority or applicable commercial legislation.

If the customer requires storing these documents in repositories under their own custody or administration during the legally required storage period, Gosocket provides multiple mechanisms to allow the customer to download their electronic documents through the portal. Some of these mechanisms are available directly and free of charge ¿How to generate reports from my documents?

Handling of documents after the legal storage period

Once the legally mandatory storage period defined by the applicable tax authority or commercial legislation has ended, Gosocket will automatically transfer these documents to storage repositories designated specifically for this purpose.

From that moment, the documents are considered historical documents and will no longer be available for viewing or downloading through the Gosocket portal.

Request for delivery of documents prior to expiration

If, upon reaching the end of the legally required storage period, the customer does not wish for Gosocket to retain custody of these documents, the customer must request their delivery before the expiration date.

Gosocket will deliver these documents free of charge within 30 business days, following a standard structure defined by Gosocket. Any customer request to modify this structure may incur additional costs.

Authorization for permanent deletion

If, for any reason, the customer does not request the delivery of these documents as described above, they must notify Gosocket in writing and grant explicit authorization to proceed with the permanent deletion of the information.

Custody after the legal period when no action is taken

If the customer does not choose any of the options indicated previously, Gosocket will retain custody of the information in the manner it considers necessary to ensure data integrity. From this point onward, any request for the delivery of electronic tax documents will incur a fee of USD 0.20 per document, or its equivalent in local currency according to the official exchange rate at the time of issuing the corresponding invoice.

The invoice must be issued before the requested information is delivered.

Optional extended custody with Gosocket

If the customer wishes Gosocket to continue storing documents beyond the legally required period, they may contact their assigned account executive or write to info@gosocket.net to receive guidance on available options and associated costs for keeping their information accessible in the portal.
